Creating a shipment

Merchants will close a reservation by creating a shipment on Gasology after fuel shipments are requested by the customer.

Customers will request delivery of their fuel for same day and forward reservation periods. Once you receive a shipment request, organize physical transport of the fuel and ship it to your customer. After shipping the customer's fuel, you will need to create an e-shipment.

“E-shipments” are sent to customers to confirm the physical delivery of a reservation and summarize all aspects of the product that was delivered. 

After a customer receives the physical shipment, they will accept the e-shipment on Gasology to initiate payment for the fuel sold. The transaction is then complete. We take a closer look at closing out a transaction in the following article.

Monitoring your deliveries

The Gasology Deliver/Receive manager helps you navigate every step of the delivery process when shipping fuel. The Deliver/Receive tab will show a notification when you receive shipment requests from your customers.

The Deliver/Receive manager also displays your current active deliveries (whether pending, in transit, or received) and reserved gallons that have yet to be shipped. In the image below, results were filtered to show Requested deliveries.

Creating an e-shipment

Click on the delivery header number (DH000292) to create a new shipment to fill your customer's shipment request.

Fill in the fields for the shipper (optional), bill of lading number / BOL #, and a reference. Information from the fuel request is pulled into the e-shipment, including the requested amount and product type.

Allocating gallons

Any number of gallons of fuel in a shipment to a customer can be allocated, or assigned, as Gasology gallons up to the total reserved amount. Gasology gallons are linked to a customer's existing fuel reservation and fulfill that reservation's physical volume requirements as the customer's future fuel.

To allocate gallons to the shipment, click the green + button.

The allocated gallons will now move over to the Allocated table.

To edit the number of Gasology gallons shipped for a specific reservation, click on the number in the Qty column in the Allocated table. The Quantity Adjustment pane will appear. Edit the quantity to be shipped and click Revise to save your updates.

Once you have entered the required shipping information, and fuel has been allocated in the e-shipment, you'll be ready to send your e-shipment. Values in the Status Summary panel will update after the e-shipment is sent, received, and accepted by your customer.

Send the shipment

Click the Ship Notice button, and confirm by clicking the Notify/Ship button to send your e-shipment to your customer. They will receive notification that the gallons have been shipped and are in transit. Once the gallons are delivered, your customer will accept the e-shipment.
