Getting a reservation

When a customer reserves fuel with your company, you’ll receive an email notification of the new reservation. This article covers what happens when you get reservations and how to monitor your company’s reservations on the platform.

The following course articles take an in-depth look at responding to indicative fuel requests, closing out transactions on Gasology, and downloading your reservation information.

Notification of reservation

When a customer reserves fuel with your company, an email notification will be sent to the administrator email account listed in the Merchant Settings manager. An email and in-platform notification are also sent when a customer approves counteroffers stemming from indicative prices. Responding to indicative price requests is discussed in the next article.

Monitoring reservations

There are three locations where you can monitor the reservations your company has booked with customers, the Activity manager, your facility dashboards, and the Customer Positions tab. Each location provides different levels of detail to meet your needs.

Activity Manager

For a detailed look at your reservation status, navigate to the Activity manager. Customer reservations can be filtered by categories of the tank, product group, and type of FOB. Click on the Suppliers subtab to view your supplier reservations.

The Customer Reservations table displays reservations in chronological order. Here, the columns under the Gallons heading show the number of gallons for the reservation and how many of those gallons have been delivered to the customer. Gallons remaining to be delivered to the customer are also shown.

Facility Dashboard manager

268_20210505_Image03aReservations can also be monitored from the Dashboard. Here, you will see the Positions fuel gauge displaying a summary of the facility's current position. Use the positions gauge for a quick summary of your current gallons offered, orders filled, and working gallons. The gauge will update automatically to reflect the facility's ongoing position.

Customer Monitor

Moving to the left, we find the Customer Monitor. Here, information on new customer reservations is displayed in chronological order with details on the specified gallons for each reservation. Data presented in this area of the dashboard can also be accessed by navigating to the Activity manager.

Base Price Monitor

Below the Customer Monitor is the Base Price Monitor. This area provides information on active prices, quantity offered, filled quantity, and your facility's working quantity for the period selected. By clicking on the Filled Qty button, details on the number of reserved gallons for the remaining periods will populate.

Clicking on any of those periods provides summary information for the reservation in the Selected Reservations window. This window provides detailed information on the price components of the product, in addition to a breakdown of the gallons offered, filled, and working.

Customer Positions

By navigating to the Connectivity manager and selecting a customer, a detailed breakdown of the customer's reservations can be accessed by clicking on Positions.

Like the Activity manager, the Positions tab allows users to manage reservations with options for filtering by vessel type, product, and FOB. Filtered results and reserved gallons are shown in the Customer Reservations table below.

Most importantly, fuel reserved by your customer is shown in the first tab, with received gallons summarizing the number of gallons delivered to the client.
